Direct
- Leads with
- The single strongest result, in the first sentence.
- Use it when
- You have one number that is obviously relevant, and the reader is busy. This is the default, and it is right more often than people expect.
- Never
- Lead with a result you cannot walk through in an interview. The whole shape depends on the first line surviving one follow-up question.

Problem first
- Leads with
- The problem the posting is describing, named in your own words.
- Use it when
- The posting is unusually specific about something painful. Naming it proves you read past the job title.
- Never
- Guess at a problem the posting does not describe. A confident diagnosis of a company you have never worked at reads as arrogance, and it is usually wrong.

Referral
- Leads with
- The name of the person who told you to apply.
- Use it when
- Someone inside the company suggested you apply. This is the highest-converting opening there is, and it is only available honestly.
- Never
- Name someone who did not actually refer you, or stretch "we met once" into a referral. It takes one message inside the company to check, and they will.

Career change
- Leads with
- The change itself, stated plainly, before anyone has to work it out.
- Use it when
- Your last title does not match the one you are applying for. Saying so first stops the reader spending their attention on the puzzle instead of the evidence.
- Never
- Apologise for the change, or pad the letter with transferable-skills language. Name the change in one sentence, then spend the rest on evidence.

Short
- Leads with
- Nothing. Four sentences, then your name.
- Use it when
- The application form has a small box, or the company has said the letter is optional. A short letter that is entirely evidence beats a long one that is mostly throat-clearing.
- Never
- Cut the number to make it shorter. The result is the only sentence in a short letter that is doing any work.

Speculative
- Leads with
- What you would work on, since there is no posting to answer.
- Use it when
- There is no open role. You are asking someone to create a reason to talk to you, so the letter has to supply that reason itself.
- Never
- Claim to know the company's priorities. You are guessing, and the honest version of this letter says so — a guess offered as a guess is a conversation, a guess offered as a fact is a red flag.

What is a cover letter template?

Usually it means a document with a layout and some placeholder sentences. That is the least useful part. What decides whether a letter works is the order of the argument — what it leads with, what it proves next, and what it leaves out. These six templates are those orders, and each one shows the same candidate's evidence arranged that way.
Which cover letter template should I use?

Direct, unless something else is true. Use Referral if someone inside the company actually suggested you apply, Career change if your last title does not match the one you want, Short if the box is small or the letter is optional, and Speculative if there is no posting at all.
How long should a cover letter be?

Shorter than you think. The Short template here is four sentences and it still carries the one number that matters. A letter earns its length by adding evidence, not by adding warmth.
Do these templates come as a Word or PDF download?

No, and that is deliberate. A downloaded file tempts you to keep the placeholder sentences, which are the part hiring managers have read a thousand times. Copy the structure, then write your own evidence into it, or let the generator do that from a resume you have already saved.
Should I write a cover letter at all in 2026?

If the application asks for one, yes, and a bad one costs you more than none. If it is optional, a four-sentence letter that names one measurable result is worth writing and takes about five minutes.
